By 9 AM, the typical consultant at a mid-sized UK agency has already checked three systems: LinkedIn for new applicants, their ATS for any candidate updates, and the shared spreadsheet their manager insists on maintaining because “the ATS doesn't pull the data we need.” Before they've had their first coffee, they're already behind, not because they're underperforming, but because the tools they're working with are structurally fragmented.
The candidate follow-up problem is particularly acute. Recruitment is, at its core, a relationship business. Candidates choose agencies based on how heard, valued and supported they feel throughout the process. Yet when recruiters are managing 60, 80, even 120 active candidates simultaneously across multiple live roles, maintaining that individual attention becomes almost impossible without automation.
The consequences are measurable. Strong candidates with options accept the first credible offer they receive from an agency that communicated well and moved quickly. Interview coordination is another pressure point. A hiring manager wants to see five candidates. Those five candidates each have their own availability constraints. The recruiter becomes the human calendar application: emailing, rescheduling, manually notifying all parties when things change. This process, which could be automated in minutes with the right CRM, routinely consumes hours that should be spent building relationships and filling roles.
The visibility problem is equally frustrating at the management level. Senior partners and hiring managers can't easily see where live roles stand: how many candidates are at screening stage, which hires are close to being placed, where the bottlenecks are. The answer typically involves someone manually pulling data from multiple sources and building a report that is already out of date by the time it is read.
